  1. Apologies

    Apologies were received from Mick Drewry and Mary Smith. 

  2. Proposed Purchase of a PA / DJ System
The Chair thanked everybody coming to the meeting and such short notice.
 
Darren Rothery explained that he had been in the process of collating quotes for PA/DJ equipment and, on Saturday 1 March, had noted that Maplins had a special offer on selected equipment which could save approximately £250.00 on the normal price. This offer was due to end on 18 March and it was not guaranteed that the offer would be repeated. The full quotation for suitable equipment was £640.00
 
The committee was requested to consider three options:
    1. Do nothing at this stage and endeavour to obtain full funding for the equipment at some point in the future.
    2. Purchase half of the equipment (i.e. that part of the equipment which was currently in the sale). Again, funding could then be sought for the balance of the equipment at some point in the future.
    3. Purchase the equipment now in order to get full advantage of the available discounts.
It was noted that getting funding in full in any event would be remote as most funding bodies would look for some contribution from the DPCA. This precluded option a). It was also noted that, with £2,666 in the bank at present, the DPCA could easily afford the equipment without recourse to external funding. This would therefore preclude option b). The question was raised as to whether part purchase of the equipment would provide adequate equipment to be used at the gala and dance. Darren Rothery reported that the equipment would only be usable once all the equipment had been purchased.
 
Doreen reported that she had discussed this issue with both Mick Drewry and Mary Smith who had both expressed a preference to acquire the equipment in full.
 
It was therefore unanimously agreed that option c) be approved i.e. the equipment be bought in full from the DPCA’s funds at a cost of approximately £640.00. Sean Moran requested that a surge protector also be acquired in order to protect the equipment from voltage spikes. This was agreed. 

The Chair again thanked everyone for coming to the meeting and, there being no further business, the meeting ended at 3.15 p.m.
